Step 1. Determine eligibility.

 

Carefully review the program goals to determine if your proposed program is a fit for one of our grants programs. If you believe it is, move to Step 2. 

 

Step 2. Letter of Intent.

 

All prospective applicants must submit a Letter of Intent. Even organizations currently implementing a WCF grant must submit a Letter of Intent; current grants are not automatically considered for renewal. Download the form here, fill it out, name it according to instructions below, and submit by email to the appropriate Program Officer by the deadline. If it is not received by the deadline, it will not be accepted or considered.

NAMING INSTRUCTIONS

Documents that are not named properly will not be accepted.

 

Include the name of your organization in the subject line of all email correspondence and in the title of all documents submitted to the Foundation (i.e. "Your Organization Proposal" or "Your Organization Letter of Intent").

 

DO NOT title your emails or files "WCF Letter of Intent," "WCF proposal," "WCF Interim Report," or "WCF final report." It will not be accepted or acknowledged.

We will consider the program as presented in the Letter of Intent, and let you know within two weeks if you are invited to submit a full proposal. In some cases we may request more information or require a personal meeting before our decision. 

 

The Foundation will only review invited proposals.

 

Step 3. Application and submission.

Once you receive an invitation to submit a proposal, you can download the proposal form here. It will appear on your computer in MSWord format. The budget is now embedded in the document, in Excel. Triple click on the Excel portion to activate the budget. See sample budget at right.


When the form is complete, email to your Program Officer and to [email protected] by the deadline. If it is not received by the deadline, it will not be accepted or considered.

When submitting your completed proposal, include an organizational budget and a board list.

Proposal forms, with required documents, are due by email to your Program Officer and to [email protected] by 5 p.m. on the deadline date. If it is not received by the deadline, it will not be accepted or considered.

PLEASE NOTE: We no longer require that a hard copy be submitted.

Step 4. Review.

The submitted proposal is reviewed by the Westchester Community Foundation staff, the Foundation's Board of Advisors, and the New York Community Trust. Site visits, meetings, and/or phone calls will take place during the review period, which is typically about a month.

 

Step 5. Notification.

 

You will be notified of the decision according to the grantmaking schedule under Overview. You will receive a grant award letter to sign and return. Your grant payment will be processed upon our receipt of the signed grant award letter. Organizations will receive a check within four to six weeks of the Foundation's receipt of the signed agreement. Grant payments are made in one or two payments.

  • Letter of Intent - All applicants are required to submit a Letter of Intent to the program officer assigned to the grantmaking area under which you are applying. This form is to be emailed to the program officer.

  • Proposal - Email completed form to [email protected] and to your program officer.

 
 

Grantees are required to submit Interim and Final reports, generally after six months and 12 months. Failure to submit reports in a timely manner will affect future funding consideration.

 

NOTE: Your grant award letter will indicate the due dates for these reports. Please make a note of these dates as you will not get a reminder from your program officer.

 

Download the Interim/Final Report Form here and email it to [email protected] or [email protected] AND to your Program Officer.

 

Be sure to name all documents as described here, and minimize the number of separate documents sent. Include as many documents as possible in one file.
